How to Release Net Assets from Donor Restriction When Project Conditions Are Met

Reclassifying net assets from restricted to unrestricted once the donor's specified project conditions have been satisfied.

Account NameTypeDebit ($)Credit ($)
Net Assets Released (With Restrictions)Equity (-)2,000.00-
Net Assets Released (Without Restrictions)Equity (+)-2,000.00

💡 Accountant's Note

This reclassification entry is unique to NGOs. It shows that the organization has fulfilled the donor's wishes and the revenue is now available on the income statement.

Practitioner & Systems Framework

💻 ERP Architecture

Release from restriction is triggered by qualifying expenditure (purpose restriction) or passage of time (time restriction). The release amount should exactly match qualifying expenditure posted to the restricted fund in the same period. Configure the ERP to auto-generate the release entry when qualifying expenditure is posted against a restricted project code. Never release more than the balance in the restricted net assets account.

⚠️ Audit Flags

Auditors verify that the release equals the qualifying expenditure — neither more nor less. Releasing before expenditure overstates income. They also check that the expenditure is genuinely within the scope of the restriction, not a creative reclassification of overhead costs.

📄 Required Documentation

Grant agreement specifying restriction and qualifying categories, expenditure posting confirming qualifying costs incurred, release calculation, and updated restricted net assets balance.
