How to Record a Material Usage Variance When More Raw Material Is Consumed Than the Standard Allows

Capturing the cost of excess material consumption relative to the standard bill of materials quantity.

💡 Accountant's Note

This entry highlights if the factory floor is wasting material or if machines are inefficient.

Practitioner & Systems Framework

💻 ERP Architecture

Material Usage Variance = (Standard Quantity Allowed for Actual Output − Actual Quantity Used) × Standard Price. WIP is debited at the standard quantity × standard price (what should have been used). Raw Materials are credited at the actual quantity × standard price (what was actually issued). The difference is the usage variance. Unfavorable usage variance → more material consumed than the standard → possible causes: excessive scrap, machine settings issues, poor material quality, or measurement errors. Track by production order, work center, and material to identify the root cause.

⚠️ Audit Flags

Auditors verify the standard quantity (from the bill of materials) is current and reflects the actual product design — outdated BOMs produce systematic variance that masks inefficiency. They also check that actual material usage is measured from production floor records (not estimated). A large favorable usage variance may indicate that the standard is too conservative (over-engineered BOM) rather than genuine efficiency.

📄 Required Documentation

Bill of materials (current, engineer-approved), actual material issuance records (material requisitions), production output report (units completed), Material Usage Variance calculation, WIP debit at standard, Raw Materials credit at actual issued, root cause investigation for significant variances, and BOM update process.
