💡 Accountant's Note

Routine maintenance is an indirect production cost essential for keeping the factory running.

Practitioner & Systems Framework

💻 ERP Architecture

Preventive maintenance (PM) is scheduled, planned servicing that prevents breakdowns. PM costs (labor, parts, lubricants, calibration services) flow through Manufacturing Overhead — they are indirect production costs that cannot be specifically traced to a single product unit. For significant PM activities with annual contracts (annual machine inspection, bi-annual calibration), set up a prepaid maintenance schedule. Track PM costs per machine and compare to unplanned breakdown costs — the PM investment should reduce total maintenance expense by preventing costly emergency repairs.

⚠️ Audit Flags

Auditors distinguish between routine PM (expense through overhead) and major overhauls that extend the machine's useful life (capitalize — see manufacturing-major-machine-overhaul). A PM activity that significantly restores or improves the machine's performance beyond its original specification qualifies for capitalization under IAS 16 component accounting. PM records should document the scope of work — ambiguous descriptions ('general service') make the capitalize vs. expense decision difficult.

📄 Required Documentation

Preventive maintenance schedule (frequency, machine, scope), maintenance work order, parts and labor cost, Manufacturing Overhead (Control) posting, PM cost per machine analysis, breakdown incident log (to compare PM investment vs. breakdown cost), and IAS 16 capitalize vs. expense assessment.
