How to Accrue Factory Electricity and Water Costs as Manufacturing Overhead
Recording the estimated cost of factory utilities at month-end before the bill arrives, as part of actual manufacturing overhead.
| Account Name | Type | Debit ($) | Credit ($) |
|---|---|---|---|
| Manufacturing Overhead (Control) | Expense (+) | 2,500.00 | - |
| Utilities Payable | Liability (+) | - | 2,500.00 |
💡 Accountant's Note
Factory utilities are a component of actual overhead. They are compared against 'Applied Overhead' at month-end.
Practitioner & Systems Framework
💻 ERP Architecture
Factory utilities (electricity, water, gas, compressed air) are indirect production costs that flow through Manufacturing Overhead (Control). Separate factory utility meters from administrative/office utility meters — only factory consumption belongs in Manufacturing Overhead. Accrue monthly based on meter readings at period-end. When the bill arrives, reverse the accrual and post the actual. Track the utility cost per machine hour or per unit produced as an operational efficiency metric. High utility costs relative to production output may indicate machine inefficiency or waste.
⚠️ Audit Flags
Auditors verify that factory utilities are segregated from administrative utilities — mixing them either inflates inventory cost (if admin utilities go to overhead) or understates factory overhead (if factory utilities are expensed as admin costs). For factories with sub-metering, the meter readings at period-end support the accrual. For shared utilities without sub-metering, the allocation basis (floor area, machine count, headcount) must be documented and consistently applied.
📄 Required Documentation
Factory utility meter readings at period-end, accrual calculation, actual utility bill when received and accrual reversal, factory vs. admin utility split methodology, utility cost per machine hour analysis, Manufacturing Overhead (Control) ledger, and annual utility budget vs. actual comparison.
