How to Record Soft Cost Recovery (Photocopies/Postage)
Billing a client for in-house services provided during the course of legal representation.
| Account Name | Type | Debit ($) | Credit ($) |
|---|---|---|---|
| Accounts Receivable - Client | Asset (+) | 150.00 | - |
| Other Income - Cost Recovery | Revenue (+) | - | 150.00 |
💡 Accountant's Note
Soft costs are internal overhead items (like $0.20 per photocopy or $50 for a legal research session) that the firm passes on to the client. Since the firm did not pay a third party specifically for that individual copy, it is recorded as revenue (or a reduction of the corresponding expense account) when billed to the client.
Practitioner & Systems Framework
💻 ERP Architecture
Integrated systems (like Copitrak or Equitrac) track these automatically and push them to the billing system. Ensure the 'Indirect Cost' recovery is distinct from 'Legal Fees' on the P&L.
⚠️ Audit Flags
Profitability on soft costs. Some jurisdictions limit how much profit a firm can make on internal cost recovery (e.g., you cannot charge $5.00 for a $0.05 copy).
📄 Required Documentation
Internal usage logs (copy logs, postage meter reports) and the signed Fee Agreement authorizing these charges.
