💡 Accountant's Note

The physical build-out of a franchise location is a significant capital investment. Leasehold improvements are depreciated over the shorter of their useful life or the remaining lease term (including renewal options if reasonably certain). Franchise-required equipment (branded POS systems, proprietary kitchen equipment) is depreciated over its useful life. Franchisor-mandated renovations (reimage programs) may require accelerated write-off of old improvements.

Practitioner & Systems Framework

💻 ERP Architecture

Set up separate fixed asset categories for leasehold improvements, equipment, and F&F. The depreciation period for leasehold improvements must consider both the asset life and the lease term (ASC 840/842). Franchise-required equipment specifications come from the FDD and equipment standards manual.

⚠️ Audit Flags

Auditors verify the lease term used for leasehold improvement depreciation. If the lease expires in 5 years but improvements have a 10-year life, the 5-year period applies (absent reasonably certain renewal). Any franchisor-mandated remodel costs must be assessed for whether they extend useful life or are period costs.

📄 Required Documentation

Construction contracts, vendor invoices, lease agreement with term and renewal option details, fixed asset register, depreciation schedule, franchisor equipment specification requirements.
