Franchisee - Gift Card Redemption Revenue Recognition
Recording revenue when a customer redeems a franchise gift card, reducing the gift card liability and recognizing the corresponding revenue.
| Account Name | Type | Debit ($) | Credit ($) |
|---|---|---|---|
| Gift Card Liability (Deferred Revenue) | Liability (-) | 350.00 | - |
| Food & Beverage Revenue / Sales Revenue | Revenue (+) | - | 350.00 |
💡 Accountant's Note
Upon redemption, the gift card liability is reduced and revenue is recognized for the amount of the redemption. Partial redemptions leave the remaining balance on the card as a liability. If the gift card system is centrally managed by the franchisor, the franchisor remits the redemption value to the franchisee upon redemption at the franchisee's location, and both parties must account for the settlement between them.
Practitioner & Systems Framework
💻 ERP Architecture
POS systems should automatically record gift card redemptions. Ensure daily reconciliation of gift card redemptions against the liability sub-ledger. For centrally managed systems, reconcile the intercompany settlement between the franchisor and franchisee for redemptions.
⚠️ Audit Flags
Auditors test gift card redemption recording by tracing a sample of POS redemption transactions to the liability reduction. The royalty base (gross sales) must include redemptions — franchisees sometimes exclude gift card redemptions from reported gross sales to reduce royalties.
📄 Required Documentation
POS redemption reports, gift card liability roll-forward, intercompany settlement records (if central system), royalty calculation confirming redemptions are included in gross sales base.
