How to Record Design and Fit Sample Costs
Determining whether to capitalize 'Sales Samples' or expense 'Fit Samples' during the design phase.
| Account Name | Type | Debit ($) | Credit ($) |
|---|---|---|---|
| Marketing Expense - Sales Samples | Expense (+) | 8,000.00 | - |
| R&D Expense - Design/Fit Samples | Expense (+) | 4,000.00 | - |
| Cash / Accounts Payable | Asset (-) / Liability (+) | - | 12,000.00 |
💡 Accountant's Note
Fashion brands produce multiple rounds of samples. 'Fit Samples' (used to perfect the garment) are R&D costs and must be expensed under ASC 730. 'Sales Samples' (used by showrooms to take orders) are Marketing expenses. Generally, samples cannot be capitalized as 'Inventory' because they are not intended for sale to the final customer and have no recoverable value at the end of the season.
Practitioner & Systems Framework
💻 ERP Architecture
Tag sample production orders in the ERP as 'Non-Valued' or 'Expense-Triggered' to ensure they don't accidentally get swept into the Inventory asset account.
⚠️ Audit Flags
Capitalizing samples as inventory. This is a common 'window-dressing' tactic to hide R&D/Marketing spend and overstate assets.
