How to Record a Monthly Shopify or WooCommerce Platform Subscription
Expensing the recurring monthly fee for the e-commerce store hosting platform.
| Account Name | Type | Debit ($) | Credit ($) |
|---|---|---|---|
| Technology Expense — Platform | Expense (+) | 79.00 | - |
| Cash / Credit Card | Asset (-) | - | 79.00 |
💡 Accountant's Note
E-commerce platform subscriptions are a recurring G&A or technology expense. Unlike infrastructure costs, they are not classified as Cost of Revenue.
Practitioner & Systems Framework
💻 ERP Architecture
Monthly platform fees are expensed directly. Annual Shopify plans paid upfront should be prepaid and amortized monthly. Track platform fees separately from app/plugin fees and transaction fees to understand the full technology cost stack. Shopify transaction fees (for non-Shopify Payments) should be tracked as Payment Processing Fees, not Platform Fees.
⚠️ Audit Flags
Platform subscription fees are low-risk. Auditors check: (1) Annual plans are amortized, not expensed in full at payment, (2) Shopify transaction fees (if applicable) are correctly classified as processing fees rather than platform fees — the distinction matters for gross margin calculation, (3) Unused platform features (e.g., Shopify Plus features not in use) are noted as a cost efficiency opportunity.
📄 Required Documentation
Shopify billing history, credit card or bank statement, and for annual plans, the prepaid amortization schedule.
