How to Record Return Shipping Costs Absorbed by the Store
Accounting for the cost of prepaid return labels provided to customers as a cost of the returns policy.
| Account Name | Type | Debit ($) | Credit ($) |
|---|---|---|---|
| Returns Shipping Expense | Expense (+) | 8.00 | - |
| Prepaid Shipping Credits / Cash | Asset (-) | - | 8.00 |
💡 Accountant's Note
Free returns are a customer retention tool but a real cost. Tracking return shipping separately enables the business to measure the true cost of its returns policy.
Practitioner & Systems Framework
💻 ERP Architecture
Create return shipment label costs as a separate expense code from outbound shipping so the total cost of returns can be measured. The true cost of a return is: outbound shipping + return shipping + restocking labor + any inventory value loss — all of which should be trackable at the order level for high-value returns.
⚠️ Audit Flags
Return shipping costs are often understated because they flow through the prepaid credits account without explicit expense tracking. Auditors test: (1) Are all issued return labels matched to actual return shipments? (2) Is the cost of unexercised (issued but unused) return labels expensed or left as prepaid? Issued labels not yet used should remain as prepaid until the return is confirmed.
📄 Required Documentation
Return label issuance log (label ID, order reference, customer, issuance date, cost), return receipt confirmation from courier (confirming the label was used), updated prepaid credits balance, and monthly returns cost analysis (return rate × average return label cost).
