How to Record an Inventory Financing Drawdown from a Trade Credit Line
Using a revolving trade finance facility to purchase inventory ahead of peak season, recorded as a liability.
| Account Name | Type | Debit ($) | Credit ($) |
|---|---|---|---|
| Merchandise Inventory | Asset (+) | 50,000.00 | - |
| Trade Finance Facility Payable | Liability (+) | - | 50,000.00 |
💡 Accountant's Note
Inventory financing allows e-commerce businesses to stock up for peak periods (Ramadan, Black Friday) without tying up cash. The facility is repaid as stock sells.
Practitioner & Systems Framework
💻 ERP Architecture
Trade finance drawdowns should be linked to specific purchase orders in the ERP so that when the inventory is received, the asset and the facility payable are created simultaneously. Track the facility utilization against the approved credit limit. As inventory sells and cash is received, repay the facility — some lenders require direct repayment from sales proceeds (collection sweeps). Interest on the facility should be expensed monthly, not capitalized into inventory unless the criteria for borrowing costs under IAS 23 are met.
⚠️ Audit Flags
Trade finance facilities are tested for: (1) Covenant compliance — sales-to-inventory ratios and other financial covenants from the facility agreement, (2) Is interest being expensed correctly and timely? (3) Are drawdowns linked to actual inventory receipts — a lender may require inventory confirmation, (4) The facility is classified as current if repayable within 12 months — reclassification errors affect working capital ratios.
📄 Required Documentation
Trade finance facility agreement (limit, drawdown conditions, interest rate, repayment terms), drawdown request and confirmation, purchase order and goods received note, monthly interest calculation, and facility utilization schedule.
