How to Record a HyperPay or PayTabs Weekly Settlement
Clearing the payment gateway receivable and recognizing processing fees when a regional gateway remits collected funds.
| Account Name | Type | Debit ($) | Credit ($) |
|---|---|---|---|
| Cash in Bank | Asset (+) | 4,850.00 | - |
| Payment Gateway Fees | Expense (+) | 150.00 | - |
| Receivable: Payment Gateway | Asset (-) | - | 5,000.00 |
💡 Accountant's Note
Regional payment gateways like HyperPay and PayTabs hold collected funds and settle weekly. The gross receivable is cleared, the fee is expensed, and the net cash hits the bank.
Practitioner & Systems Framework
💻 ERP Architecture
Treat regional gateways (HyperPay, PayTabs, Telr) identically to Stripe — maintain a dedicated Receivable: Gateway account per provider. Gross sales are posted to the receivable at transaction time; fees and net cash are recorded at settlement. Reconcile the gateway receivable balance to the gateway's merchant dashboard at each reporting date.
⚠️ Audit Flags
Regional gateways may have less mature reconciliation tools than global providers — manual reconciliation is often required. Auditors test: (1) Gateway receivable balance agrees to the provider's outstanding balance report, (2) Fee rates applied in settlements match the signed gateway agreement, (3) Settlement delays beyond the contract SLA are investigated and disclosed if material.
📄 Required Documentation
Gateway settlement statement (transaction-level detail, fees, net payout), bank deposit confirmation, gateway merchant dashboard balance at reporting date, signed gateway agreement with fee schedule, and monthly receivable reconciliation schedule.
