How to Record an E-commerce Gift Card Sale
Recording the cash received from a gift card purchase as a liability, not revenue.
| Account Name | Type | Debit ($) | Credit ($) |
|---|---|---|---|
| Cash / Bank | Asset (+) | 100.00 | - |
| Gift Card Liability | Liability (+) | - | 100.00 |
💡 Accountant's Note
A gift card is not a sale — it is a liability. The store owes the holder products worth JOD 100. Revenue is only recognized when the card is redeemed for actual products.
Practitioner & Systems Framework
💻 ERP Architecture
Assign each gift card a unique code linked to a sub-ledger balance in the Gift Card Liability account. The ERP must track: face value, amount redeemed, balance remaining, issue date, and expiry date per card. Monthly reporting should show the total outstanding gift card liability and its age profile. High gift card liabilities from promotions (Ramadan/Eid gifting) can be material.
⚠️ Audit Flags
Auditors test the gift card liability balance for: (1) Completeness — all cards sold but not yet redeemed are on the liability ledger, (2) Mathematical accuracy — sub-ledger sum equals the balance sheet liability, (3) Expired cards are not left on the liability indefinitely — breakage recognition must be applied, (4) Cards issued as refunds or promotions (not cash sales) are properly tracked.
📄 Required Documentation
Gift card issuance log (card code, face value, issue date, expiry date, sale channel), redemption log (card code, redemption date, amount redeemed, remaining balance), outstanding liability reconciliation (gift card sub-ledger to GL balance), and breakage analysis (historical redemption rate by expiry cohort).
