How to Record a Delivery Damage Claim Against a Courier

Setting up the insurance or damage claim receivable when a courier confirms liability for goods damaged in transit.

Account NameTypeDebit ($)Credit ($)
Insurance / Damage Claim ReceivableAsset (+)200.00-
Inventory Loss (Recovered)Expense (-)-200.00

💡 Accountant's Note

When a courier damages goods in transit and accepts liability, the claim receivable offsets the inventory loss previously recorded. The claim is recognized when the courier confirms acceptance.

Practitioner & Systems Framework

💻 ERP Architecture

Maintain a Damage Claims sub-ledger tracking: claim reference, courier, order ID, claimed amount, status (submitted/accepted/rejected/settled), and payment date. Only recognize the receivable when the courier formally accepts liability — not when the claim is submitted, as recovery is not certain until acceptance. Close out the receivable to Cash when payment is received.

⚠️ Audit Flags

Damage claim receivables are tested for recoverability: (1) Are only accepted (not merely submitted) claims on the balance sheet? (2) Are claims supported by courier acknowledgment documentation? (3) Are long-outstanding claims (90+ days after acceptance) reviewed for collectability? (4) Claims for amounts exceeding the courier's declared liability limit may not be fully recoverable.

📄 Required Documentation

Damage claim submission (photos of damaged goods, courier tracking reference, claimed amount), courier's written acceptance of liability, claim settlement correspondence, payment receipt, and reconciliation of Damage Claims receivable to courier claims register.
