How to Record Contract Change Orders (Variation Orders)

Adjusting the contract value and recognizing revenue when a client requests and approves additional work mid-project.

Account NameTypeDebit ($)Credit ($)
Accounts Receivable (Unbilled)Asset (+)2,500.00-
Construction RevenueRevenue (+)-2,500.00

💡 Accountant's Note

When a change order is signed, the total 'Contract Price' increases. This entry recognizes the revenue for the additional progress made on that new scope of work.

Practitioner & Systems Framework

💻 ERP Architecture

Update the Total Contract Value (TCV) in the Job Costing module ONLY when the Variation Order (VO) is formally approved by the client. The system will then automatically recalculate the Percentage of Completion (POC) revenue based on the new total budget and revenue figures.

⚠️ Audit Flags

Recognizing revenue on unapproved change orders is a classic IFRS 15 violation. Auditors will heavily test whether variable consideration (unapproved claims/VOs) was improperly included in revenue. Ensure revenue is only recognized to the extent it is highly probable not to reverse.

📄 Required Documentation

Formally signed Change Order / Variation Order, updated project budget (EAC), and revised progress billing certificate.
