How to Record Advance Payments to Material Suppliers
Paying a cement or rebar supplier in advance to secure materials at an agreed price.
| Account Name | Type | Debit ($) | Credit ($) |
|---|---|---|---|
| Advances to Suppliers | Asset (+) | 50,000.00 | - |
| Cash in Bank | Asset (-) | - | 50,000.00 |
💡 Accountant's Note
Supplier advances are current assets, not expenses. They are offset against the supplier's invoices as materials are delivered.
Practitioner & Systems Framework
💻 ERP Architecture
Post the payment as a prepayment/advance linked to the specific vendor. Do not post it to Accounts Payable unless your system specifically handles debit balances in AP. Track aging of advances to ensure delivery is fulfilled.
⚠️ Audit Flags
Auditors will review the aging of supplier advances. Advances standing for long periods without delivery may require impairment (e.g., if the supplier goes bankrupt). They check that advances are excluded from inventory and WIP calculations.
📄 Required Documentation
Proforma invoice, Purchase Order, bank remittance advice, and supplier statement of account.
