How to Record a Cash Register Shortage at the End of a Retail Shift
Posting a cash over/short expense when the physical till is less than the POS daily sales report.
| Account Name | Type | Debit ($) | Credit ($) |
|---|---|---|---|
| Cash Over and Short | Expense (+) | 12.00 | - |
| Cash in Hand | Asset (-) | - | 12.00 |
💡 Accountant's Note
A common retail entry. Small shortages are expensed. Large or recurring shortages trigger an internal audit for potential theft or error.
Practitioner & Systems Framework
💻 ERP Architecture
Count the till at every shift change, not just end of day — this localizes any discrepancy to a specific cashier's shift. Record the variance to Cash Over and Short and analyze by cashier monthly. Set an investigation threshold (e.g., any single shortage above JOD 20 or cumulative monthly shortages above JOD 50 per cashier) that triggers a formal investigation.
⚠️ Audit Flags
Recurring shortages from the same cashier are a fraud indicator. Auditors and internal audit teams will request the Cash Over and Short ledger by cashier and by time period. CCTV footage at POS stations is valuable supporting evidence during investigation. Cash shortages that consistently appear at the end of specific promotions or high-traffic periods deserve particular scrutiny.
📄 Required Documentation
Daily till count sheets (signed by cashier and supervisor), POS Z-report for the shift, Cash Over and Short ledger by cashier, investigation reports for material shortages, and corrective action documentation.
