Dealerships maintain a fleet of courtesy loaner vehicles for service customers during repairs. These vehicles are typically acquired from new inventory at cost and transferred to the fixed assets (loaner fleet) account. They are depreciated over their service life (typically 12-18 months) and then sold as used vehicles. Some manufacturers subsidize the loaner fleet through dealer support programs.

Loaner fleet vehicles are tracked separately in the DMS as fixed assets with depreciation configured over the intended service period (typically by months or mileage accumulation). The vehicles are floor-plan curtailed when transferred out of new inventory (the dealer owns the loaner outright or finances it separately). Monthly depreciation is posted to the service department cost centre. At the end of the loaner period, the vehicle is sold as a used vehicle at its depreciated carrying value — the sale price above the NBV is a gain. Manufacturer loaner support (monthly stipend per loaner vehicle) is recognized as income when earned.

Auditors confirm the loaner fleet is properly segregated from new vehicle inventory (so it is not counted in new inventory for floor plan purposes). Test that depreciation is based on a realistic useful life — loaners accumulate high mileage quickly. Confirm manufacturer loaner support payments are recognized when earned. Review the loaner fleet sale records when retired — the proceeds should be compared to NBV, with any gain/loss recognized in the period of sale.
